How does Out-Of-Office detection work?

Are summer holidays, Christmas, or any other holidays coming up? We know that you'll receive a lot more responses from your leads. Unfortunately, most of them will be Out of Office (OOO) replies. These are not actual responses, and you need to be aware of this to take appropriate actions and continue your campaigns upon the return of your leads.

Indeed, you have a higher chance of receiving a genuine response if you continue your sequence when they are back from their vacations.

Automatic detection of Out of Office emails

When you receive an email, if it's an Out of Office email, the lead will be tagged as "Out Of Office".

The majority of leads specify in their OOO emails the reason for their absence and, most importantly, their return date. This OOO detection feature allows us to identify this information and find the return date if it is mentioned in the email. So if a return date is found it will be displayed on your campaign page.

Automatic rescheduling of the next actions

By default, the option is selected. When you receive an OOO email, the following actions will be rescheduled for the lead's return date +3 days.

Why +3 days? We consider that when returning from vacation, people go through their emails and gradually get back into their work, and it's better to wait a bit before continuing to send them messages to increase the chances of receiving a response.

If no return date is found in the email, the lead will be paused with the "Out of Office" tag, and you can manually follow up with them whenever you want.

How to? Click the lead on the overview tab. Edit the status from paused to resume.

If you don't select the option, upon detecting an OOO, the lead will simply be paused with the "Out of Office" tag. It's up to you to follow up or move them to another sequence if desired.

What happens for the basic plan?

Since lead qualification is not available for the basic plan, if you receive an OOO email, it will be treated like any other response. This means that the campaign will stop for that lead. If you want to send them further messages, you'll need to add them to a new audience and/or create a new campaign to continue communicating with them.
